Our innovative technology is the result of close collaboration with international research environments and is adapted through projects at universities and colleges. The platform creates better correlation between practice periods and supervision, bridging the gap between practice locations and campuses. # Dashboard

The Dashboard feature can only be accessed through the web version of the MOSO application.

The Dashboard is a key feature of the MOSO platform, providing users with a quick and easy way to access their latest plans and pending invitations, as well as important updates and information about their activities on the platform. It is accessible exclusively through the web version of the application.

The Dashboard is comprised of three main components: a side navigation menu, which allows users to quickly access different sections of the platform; a top navigation bar, which provides quick access to key features and settings; and a main screen, which displays important information such as the user's latest activities, pending invitations, and other relevant updates.

With its user-friendly interface and intuitive design, the Dashboard is an essential tool for staying up-to-date with your activities and managing your workflow on the MOSO platform. Whether you are a teacher, student, or supervisor, the Dashboard provides quick and easy access to the information you need to succeed.

# Plans

The Plans part is a powerful tool designed to help users manage and collaborate on various types of projects. The screen provides access to all existing plans, as well as the ability to create new plans from scratch or using a pre-built template. Each plan includes detailed information such as due dates, tasks, and files, which can be customized to suit the specific needs of the project.

Users can create new plans with or without a template, and have the option to choose from various plan options, such as task lists and time tracking. Plan screens allow users to easily navigate through their plans and view all relevant information in one place.

Collaboration is made easy with the addition of comments, audio comments, and video tagging. Users can leave comments on specific tasks or files, making it simple to discuss progress and collaborate with team members. Video tagging and audio comments allow for even more detailed communication, making it easy to provide feedback and keep everyone up to date on the project's progress.

For those who need to present their work or collaborate in real-time, the Live Streaming feature allows for seamless video communication and collaboration. Overall, the Plans part offers a comprehensive set of tools for managing and collaborating on projects, making it an essential part of any team's workflow.


# Plans screen

## Display active plans

When you click on the Plans tab, the active plans list will be displayed by default on the screen. The list provides key information about each plan, including the owner's name, plan title, creation date, creation time, and the number of participants currently involved.

## Search

To search for plans, you can use the search box located at the top left corner of the screen. You can search for plans by entering the plan title, plan owner's name, or the names of the participants involved in the plan.

## Filter plans

To navigate between created or joined plans, you can use the plan filter located on the plans screen. This filter allows you to quickly view different lists of plans, including active plans, archived plans, plans scheduled for the current week or month, as well as invitations you have received. Additionally, you can also filter the list to view only plans that you have created or plans that you have joined.

Plans can be categorized into three different modes, including Planning mode, Observation mode, and Supervision mode. Planning mode refers to plans that are actively being created or edited, Observation mode pertains to plans that are being monitored or evaluated, and Supervision mode is used for plans that require oversight or management by a supervisor or team leader.

## Sort plans

Using the sort function, you can sort the plans you've created or joined by **first or last created date.**

## 3-dots

When you hover over the plan, 3 dots appear at the end plan list.&#x20;

* If you are a participant, you can **leave** the plan.
* If you created the plan, you can **edit** or **delete**.

## Create new plan

You can start creating a new plan by pressing the "Create plan" button on the top right of the plans page.

# Plan details

## Consent screen(if enabled)

If the consent screen is enabled, you must agree to your organization's rules and regulations regarding the use of your personal data before creating a new plan.&#x20;

## Adding plan details

To add plan details, follow these steps:

1. **Title:** Enter a title for your plan.
2. **Start date:** Select the starting date for your plan.
3. **Start time:** Select the starting hour and minute using the diagram.
4. **Topic:** Enter the topic of your plan.

### Selecting template

If your organization has pre-made templates available in the license package, you can select one to use for your plan.&#x20;

### Preview template

After selecting a template, you can preview it by clicking the "Preview" button.

### Adding more details

You can also add more details to your plan by clicking the "More settings" button. This allows you to add a Zoom link, activate livestreaming, add other participants, and attach documents to your plan.

### Zoom link

If you want to include a Zoom link for a live session with other participants, you can add it in the designated section.

### Streaming

You can also choose to broadcast live to other users for use in Observation mode by selecting the "Streaming" option.

## Adding/remowing participants

When adding participants to your plan, you have two options. You can select participants directly from the list or find them by typing their names or email addresses. If the user you want to include is not on your list, you can send an invitation to their email by clicking the 'Invite user' button.

If you want to remove a participant from your plan, simply click the 'Remove' button next to their name.

## Giving edit option to participant

If you want to give a participant edit access to your plan, you can do so by selecting the desired participant and enabling the edit option.

To add online documents from the 'Files' section, simply check the box next to the desired documents. Selected files will be highlighted in green.

# Creating new plan without template

### **Creating plan**

To create a new plan, please follow these steps:

1. Navigate to the Plans screen.
2. Click on the 'Create plan' button.
3. If enabled, agree to the consent screen that outlines your organization's rules and regulations regarding the use of personal data.
4. Enter the title, start-end date, and topic for your plan.
5. Select 'No Template' from the Templates dropdown menu.
6. Click on the 'More settings' button to add additional features to your plan, such as a Zoom link or livestream.
7. Click on the 'Save' button to save your changes.
8. Finally, click on the 'Save' button located at the top right corner of the screen.

# Creating new plan with template

By following these steps, you can create a more effective plan using a template on MOSO and enhance your plan easily.

### Creating a Plan and Selecting a Template:

1. Navigate to the "Plans" screen by selecting the "Plans" tab from the side navigation menu.
2. Click on the "Create Plan" button.
3. If the consent screen is enabled by the organization admin, approve it.
4. Add a title, start-end date, and topic to your plan.
5. Select the desired template option from the Templates drop-down menu.
6. Click the "Preview" button to see the template in preview mode.
7. Press space to close the preview mode.
8. Continue with the "More Settings" option to complete the plan creation process.

### Adding Participants:

1. Click on the "More Settings" button.
2. Click on "Enter Name or Email" under the Participants section.
3. Select the participant you want to include in the plan (you can find them by typing their name or email address if there are too many users in the list).
4. If you want to authorize the user to edit the plan, please select "Can Edit" next to the participant's name.
5. If the participants you want to include in your plan are not in your list, you can send an invitation by clicking the "Invite User" option.
6. Press the "Remove" button to remove a participant from the plan.

### Adding Documents to the Plan:&#x20;

To add documents to your plan, follow these steps:

1. From the plan page, click on the "Add Documents" button.
2. From the "Add Documents" pop-up, select one of the following options: a. Files: These are the files located in MOSO application. You can select files from either "Common files" (files uploaded by admin) or "My Files" (files uploaded by you). b. Upload: Upload a document from your local device.
3. Select the document you want to add to your plan.
4. Once you have selected the document, click on the "Save" button. The document will now be added to your plan.

### Editing Plan

To edit a plan in MOSO, follow these steps:

1. From the side navigation menu, select the "Plans" tab to go to the plans screen.
2. Click on the plan you want to edit to view its details.
3. Click on the hamburger menu located at the top-right corner of the plan details page.
4. Select "Edit Plan" from the dropdown menu to enter the editing mode for the plan.

## Duplicating components

Duplicating components allows you to create a copy of an existing component within a plan. This can be useful when you want to create multiple instances of the same component, such as when you have a recurring task or event. Here are the steps to duplicate a component:

#### To enter edit mode:

1. Navigate to the Plans screen by selecting the "Plans" tab from the side navigation menu.
2. Click on the desired plan to view its details.
3. Click on the hamburger menu located at the top right of the plan.
4. Select "Edit Plan" to enter edit mode.

#### To duplicate a component and add extra sessions:

1. Scroll down to find the component that needs to be duplicated.
2. Click on the "Duplicate" icon to create a duplicate of the component.
3. Go to the duplicated component.
4. Update the title field with the desired title.
5. Configure the new component as needed.
6. Save your plan and review the changes.

## Removing components

Following these steps will allow you to easily remove any components from your plan that you no longer need.

4. Save your plan and check the changes to ensure that the component has been successfully removed.

Uploading pictures after a component is a way to add visual content to your plan. Here are the steps to follow:

### **To go to edit mode;**

1- Navigate to the plans screen by pressing the **Plans** tab from the side navigation menu

2- Click on the plan to see plan details

3- Press hamburger menu located at top right of your plan&#x20;

4- Click on the "Edit plan", you will enter to edit mode

### **You can add pictures into the plan.**

1. Scroll down to the component where you want to add a picture.
2. Click on the "Image" icon and select the "Browse" button to locate the picture on your computer.
3. Select the picture you want to upload.
4. If needed, you can change the name of the image file.
5. Click the "Insert" button to add the picture to your component.
6. Save your plan by pressing the "Save Plan" button and check the changes.

## Uploading/embedding video after component

Uploading video after component process allows you to add a video to your plan by uploading it directly from your PC. This method is useful if you have a video saved on your computer that you want to include in your plan. By following the steps, you can easily upload the video file, customize its name if necessary, and insert it into your plan. This way, you can provide additional visual aids to your plan to make it more engaging and informative for your audience.

Embedding a video means that you can include a video player on your plan without having to upload the actual video file to the platform. Instead, you can embed the video from another source, such as YouTube or Vimeo, by copying and pasting the video's embedding code. This allows you to include videos that are hosted on other platforms without having to re-upload them to your plan, which can save time and storage space.

### To enter edit mode:

1. Navigate to the plans screen by clicking the 'Plans' tab from the side navigation menu.
2. Click on the plan you wish to edit to view its details.
3. Click the hamburger menu located at the top right of the plan.
4. Click 'Edit plan' to enter edit mode.

### Uploading Video After Component:

1. Scroll down to locate the component where you want to upload the video.
2. Click the 'Video' icon, and then click the 'Browse' button to select the video file from your personal computer.

4. If necessary, change the video file name.

# Plan options

Plan options refer to the various actions and settings that you can use to manage and customize your plans in MOSO app. These options are available for both plan owners and participants, depending on the level of permissions granted to them by the plan owner.

Some of the most common plan options in MOSO app include:

* Edit plan details: This option allows you to modify the details of your plan, such as the title, description, and due dates.
* Edit plan body: This option enables you to make changes to the content of your plan, including the tasks, milestones, and notes.
* Export plan: This option allows you to download your plan in PDF format, which can be useful for sharing or printing.
* Delete plan: This option is only available to plan owners and allows them to permanently remove a plan from the app.
* Leave plan: This option is available to participants who no longer wish to be associated with a particular plan.
* Change plan mode: This option allows you to switch between different modes of plan management, such as Planning mode, Observation mode, and Supervision mode.

By using these plan options in MOSO app, you can easily customize your plans to suit your specific needs and preferences, collaborate with others, and track your progress towards your goals.

## Adding personal note

To improve the process of adding a personal note to your plan options, here are some suggestions:

1. **Navigate to the plan:** Start by navigating to the plan you want to add a personal note to. You can do this by clicking on the Plans tab from the side navigation menu and selecting the plan you want.
2. **Access the plan options:** Once you've selected the plan, look for the hamburger menu located at the top right of the screen. Click on this menu to access the plan options.
3. **Select Personal Note:** From the plan options menu, select the "Personal Note" option. This will allow you to add a personal note to the plan.
4. **Add your personal note:** Once you've selected the Personal Note option, a text box will appear where you can add your personal note. Type in your note and then click "Save" to save your changes.
5. **View your personal note:** After adding your personal note, it will be saved and can be accessed at any time by selecting the Notes section on the sidde navigation menu.

By following these steps, you can easily add a personal note to your plan options and keep track of important information or reminders related to the plan. This can help you stay organized and on top of your tasks.

## Editing plan body

By following these steps, you can easily edit the plan body in MOSO app and keep your plan information up-to-date. This can help you stay organized and on top of your tasks.

1. **Navigate to the plan:** Start by navigating to the plan you want to edit. You can do this by selecting "Plans" from the side navigation menu and then clicking on the plan you want to edit.
2. **Access the plan options:** Once you've selected the plan, look for the hamburger menu located at the top right of the screen. Click on this menu to access the plan options.
3. **Select Edit Plan:** From the plan options menu, select the "Edit Plan" option. This will allow you to edit the plan body.

## Exporting plan

## Delete/leave the plan

1. **Navigate to the plan:** Start by selecting "Plans" from the side navigation menu and then click on the plan you want to delete or leave.
2. **Access the plan options:** Look for the hamburger menu located at the top right of the screen and click on it to access the plan options.
3. **Select "Delete plan" or "Leave plan":** From the plan options menu, select "Delete plan" if you're the owner of the plan and want to delete it. Alternatively, select "Leave plan" if you've joined the plan and want to leave it.
4. **Confirm your action:** A pop-up window will appear asking you to confirm your action. If you're sure you want to delete or leave the plan, click "Yes" to proceed.
5. **Check the plan has been deleted or left:** Once you've completed the action, check that the plan has been successfully deleted or that you've left the plan.

## Change plan mode

If you're the plan owner or have edit permission from the owner, you can change the plan modes. The available plan modes are: Planning mode, Observation mode, Supervision mode, and Archive mode.

* **Supervision mode - Archive mode**

Here are the steps to change the plan mode:

1. Navigate to the plan: Start by selecting "Plans" from the side navigation menu and then click on the plan you want to change the mode for.

3. Choose the next plan mode: From the plan options menu, select the activation button of the next plan mode you want to switch to.
4. Confirm your action: A pop-up window will appear asking you to confirm your action. If you're sure you want to change the plan mode, click "Confirm" to proceed.
5. Check the plan mode has been changed: Once you've completed the action, check that the plan mode has been successfully changed.

## Undo plan mode from archive to Supervision

If you've archived a plan and want to undo it and return to the Supervision mode, you can do so in MOSO app by following these steps:

1. **Navigate to the plan:** Start by selecting "Plans" from the side navigation menu and then click on the plan you want to work with.
2. **Access the plan options:** Look for the hamburger menu located at the top right of the screen and click on it to access the plan options.
3. **Select "Undo plan mode":** From the plan options menu, select "Undo plan mode" to begin the process.
4. **Confirm your action:** A pop-up window will appear asking you to confirm your action. If you're sure you want to undo the plan mode and return to the Supervision mode, click "Confirm" to proceed.
5. **Check the plan mode has been changed:** Once you've completed the action, check that the plan mode has been successfully changed from Archive to Supervision mode.

By following these steps, you can easily undo the plan mode from Archive to Supervision mode in MOSO app. Just make sure to confirm your action before proceeding, as it may affect the way the plan is managed and viewed by others.

# Plan screens

The plan screens in MOSO app consist of four main modes: Planning form, Plan details, Participants and Documents. Here's how to access the Planning form:

## Planning form

1. Open the MOSO app and select the Plans tab from the side navigation menu.
2. Click on the specific plan you want to work with.
3. Click the Planning from options located at the top right of your plan.

## Details

The Plan Details screen in MOSO app provides an overview of the key information related to your plan, including its title, topic, start date and start time. Here's how to access the Plan Details screen:

1. Open the MOSO app and select the Plans tab from the side navigation menu.
2. Click on the specific plan you want to work with.
3. Select "Plan Details" from the available options.

This will take you to the Plan Details screen, where you can view and edit the plan information, including its title, topic, start date and start time by clicking the Edit plan details button.

## Participants

To view the list of participants in the plan, click on the Participants button located at the top right of the plan screen. From here, you can add or remove participants and adjust their edit permissions by clicking on the "Add Participant" button.

### Accept status

The accept status shows whether participants have agreed to join the plan or not.&#x20;

**Accepted:** Participants who have agreed to join the plan and have been added to the plan.&#x20;

**Pending:** Participants who have not yet accepted the plan invitation and are still pending to join.&#x20;

### Edit status

If a participant has been given permission to edit the plan, their name will show "Can Edit" next to it in the Participants list.&#x20;

### Adding/removing document

You can manage documents related to the plan by following these steps:

## Like/star/reply/edit/delete comments

You can interact with comments in various ways, depending on your role and permissions:

## Comment filter

The comment filter allows you to filter and sort the comments based on two different criteria.

1. **Plan state filter:** This allows you to filter comments based on the status of the plan. You can choose from the following options:

* **Comment in planning:** comments related to the planning phase of the plan.
* **Comment in observation:** comments related to the observation phase of the plan.
* **Comment in supervision:** comments related to the supervision phase of the plan.
* **Comment in archive:** comments that have been archived.
* **Starred:** comments that you have marked as important.
* **All comments:** all comments related to the plan.

2. **Date state filter:** This allows you to sort comments based on their age. You can choose from the following options:

* **Oldest first:** displays the oldest comments first.
* **Newest first:** displays the newest comments first.
* Name alphabet: sorts comments alphabetically based on the commenter's name.

## Starred comments

Starred comments are a useful way to keep track of important or particularly relevant comments in a plan. You can view all of your starred comments in two ways:&#x20;

**1- From the Dashboard:**&#x20;

* When you're on the Dashboard, click on the star icon in the upper right-hand corner.&#x20;
* Then, select the plan you want to view from the dropdown menu. This will show you all the comments you've starred in that plan.

* Select "Plans" from the side navigation menu and then click on the plan you want to view.&#x20;

* From there, click on the plan state filter.
* Select "Starred" from the dropdown menu. This will show you all the comments you've starred in that plan.

# Video Tagging

Video tagging allows you to add context to your comments by including a relevant video. This can be useful for providing visual examples, demonstrating a process or procedure, or providing additional information that might be difficult to convey with text alone.

Note that the maximum size of the video you can upload may be limited by the platform you are using. Additionally, video tagging may not be available for all plans or may require certain permissions to be granted by the plan owner.

## Adding video as comment

Adding a video as a comment to a plan can be done by following these steps:

1. Open the Comments section by clicking on the Comment icon located at the top right of the plan screen.
2. The Comments panel will be displayed, showing all the comments related to the plan.
3. Under the Comments panel, you will see a comments box where you can type your comment.
4. Click on the "+" icon located next to the comment box and select "Video" from the options.
5. Select the desired video from your device to upload.
6. Once the video is uploaded, it will be added as a comment to the plan.

## Adding tags to video

Adding tags to a video in a plan allows you to provide specific feedback or comments on a particular part of the video.

1. Open the Comments section by clicking the Comment icon located at the top right of the screen.
2. Find the video you want to tag and click on it.
3. The video will start playing automatically.
4. While the video is playing, pause it at the desired time and add your comment.
5. Your comment will be added as a video tag with the exact timestamp of the video.
6. Click the back arrow located at the top right to navigate back to the plan.
7. Your video tags will be displayed inside your comments section, allowing you and other participants to quickly jump to specific moments in the video.

## Like/reply/star/edit/delete tags

1. Open the Comments section by clicking the Comment icon located at the top right.
2. Locate the tag you want to interact with and click the three dots in the upper right corner of the tag.
3. You will see the following options:

* **Like:** If you want to show your appreciation for a tag, you can click on the like option. This will not affect the content of the tag, but the author will be notified of your appreciation.
* **Reply:** If you want to respond to a tag, you can click on the reply option. This will open a textbox where you can write your response. When you're done, click on the "Send" icon to post your reply.
* **Star:** If you want to bookmark a tag for later reference, you can click on the star option. This will add the tag to your list of starred items.
* **Edit:** If you want to make changes to a tag you created, you can click on the edit option. This will allow you to modify the content of your tag. When you're done, click on the "Send" icon to update your tag.
* **Delete:** If you want to remove a tag you created, you can click on the delete option. This will remove the tag from the plan. If you're not the author of the tag, you won't see the edit and delete options, but you can still like, reply, and star the tag.

# Audio comments

Audio comments are a great way to add more detail or emotion to your comments. They can be especially useful in situations where written comments may be difficult to convey your thoughts or feelings. Keep in mind that audio comments may require the listener to have headphones or be in a quiet environment.

## Recording audio comment

1. Select 'Plans' from the side navigation menu.
2. Click on the plan you want to add an audio comment to.
3. Display comments to the plan by pressing the comment icon located in the top right corner of the screen.
4. Comments to the plan and comments to the plan components will be listed on the right-hand side of the screen.
5. Click on the microphone icon, located below the comment box, to start recording your audio comment.&#x20;
6. When you're done recording, click the stop button to finish the recording.

## Cancelling audio comment

If you want to cancel the audio comment while recording, simply tap the X icon that appears next to the microphone icon. This will stop the recording process and discard the audio file that was being created. The audio comment will not be sent or saved, and you will need to start over if you wish to create a new one.

# Recording video

Available in mobile app only.

The recording video feature is only available in the mobile app and allows users to record a video comment to add to a plan. To record a video to your plan, follow these steps:

1. Open the Plans section from the bottom navigation bar
2. Select the desired plan and open the Comments section by tapping the Comment icon in the top right corner
3. Look for the camera icon and tap on it to open the recording options
4. Choose 'Record video' from the pop-up menu
5. Tap the red 'Record' button to start recording
6. When you're done, tap the 'Stop' button to finish recording
7. You will be prompted to review the video and choose whether to send it or not.

When recording a video comment, the length of the video and the speed of your internet connection can affect the upload time of the video. It is important to wait until the video is fully loaded before attempting to send it. If you encounter any issues during the upload process, you may be prompted to try uploading the video again. This could happen due to several reasons such as unstable internet connection or file format incompatibility. In such cases, it is recommended to check your internet connection and ensure that the video is in a supported format before trying to upload it again.

# Live streaming

## Adding live streaming to a plan

Adding Live Streaming to your plan is a great way to engage with your audience in real-time. You can easily add this feature when creating a new plan by selecting the Live Streaming function or later in the edit mode.

You can add livestream to your plan in 2 ways.

**A- Please add livestream when creating a new plan by following the steps below.**

1. Navigate to the Plans screen.
2. Click on the Create Plan button.
3. Approve the consent screen (if enabled by the organization admin).
4. Add a title, start and end date, and topic.
5. From the Templates dropdown, select the desired template(if enabled by the organization admin).
6. Click on the More Settings button.
7. Check the Livestream box.
8. Choose who will start the livestream - all participants or only you.
9. Enter the time in minutes that the livestream will automatically end. By default, it is set to 10 minutes.
10. Save your plan by completing the remaining steps.

**B- If you did not decide on the Livestream function when creating the plan, you can add this feature to your plan later in the edit mode.**

It's important to note that you can also add the Livestream feature to your plan later in edit mode. Just go to your plan and select the Livestream function from the More Settings menu. This can be useful if you decide to include a Live Streaming session after creating your plan.

## Starting a live stream

To start a live stream for your plan, you must first activate Observation Mode. Follow these steps:

1. Click on the Activate Observation button for the plan you want to live stream.
2. Click on the Livestream icon located within the Observation Mode.
3. Click on the video record icon to start the live stream.

Please note that the Livestream feature is only available during the Observation Mode, and you must have the necessary permissions to start a live stream for your plan.

# Courses

The Courses part of the platform is designed to provide tools for managing and monitoring courses offered by teachers, attended by students, and supervised by designated personnel.

The Teacher's Course Screen allows educators to create and manage courses, upload course materials, and monitor student progress. The Student's Course Screen enables students to access the course materials, view their progress, and communicate with the teacher. The Supervisor's Course Screen provides a higher-level view of course progress, allowing designated personnel to monitor and evaluate the course's success.

In addition to course management, the platform includes Evaluation components that can be used to assess student progress and assign grades. These evaluation tools may include tests, assignments, quizzes, and other forms of assessment, and can be customized to meet the needs of specific courses and curricula.


# Teacher's Course Screen

The Courses feature in the platform is designed to help teachers create and manage online courses for their students. As a teacher, you can use the Teacher's Course Screen to view and manage the courses you have created.

## Display active courses

To access the Teacher's Course Screen in order to view and manage active courses, follow these steps:

1. Click on "Courses" in the side navigation menu.
2. Select "Active" from the options displayed in the upper bar.The active courses will be listed on the page.&#x20;
3. To view the details of a course, click on the course name.&#x20;
4. If you are the creator of the course, you can also edit the course by clicking the "Edit" button.

By accessing the active courses from this screen, teachers can easily manage and update course information, view student progress, and more.

## Display expired courses

To display expired courses on the Teacher's Course Screen, follow these steps:

1. Click on "Courses" on the side navigation menu. This will take you to the Teacher's Course Screen.
2. On the upper bar, select "Expired". This will show you a list of all your expired courses.
3. You can view the course details by clicking on the course name. This will take you to the course page where you can view the course content, but you won't be able to make any changes to it.

By using the Teacher's Course Screen, you can easily manage your courses and ensure that your students have access to the content they need to succeed.

## Display completed evaluations

1. Click on 'Courses' on the side navigation menu.
2. Select 'COMPLETED EVALUATIONS' on the upper bar.
3. You will see a list of completed evaluations, which includes the course name and the student's name.
4. To view the evaluation given to the student, click on either the course name or the student's name. This will take you to the evaluation page where you can view the student's progress and feedback given by the teacher.

To display the student list for a course:

1. Click Courses on the side navigation menu.
2. Select ACTIVE on the upper bar.
3. Click on the number of students enrolled in the course. This will display the list of students who are currently enrolled in the course.

This feature is useful for teachers to monitor their students' progress and ensure that everyone is on track with the course material. By being able to assign tasks and evaluations, teachers can also ensure that students are meeting the course requirements and achieving the desired learning outcomes.

1. Click Courses on the side navigation menu.
2. Select ACTIVE on the upper bar.
3. Click on the number of students to display the list of students enrolled in the course.
4. Click on the course name to view its details.
5. Scroll down to find the section labeled "Work Requirements" or "Learning Outcomes" and click on it to expand and view the details.

### Transfer group

To transfer a group to another teacher, follow these steps:

1. Click on "Courses" on the side navigation menu.
2. Select "Active" on the upper bar.
3. Click on the number of students in the group you want to transfer.
4. Click on "Transfer group".
5. Select the teacher to whom you want to transfer the group.
6. Click on the "Transfer group" button.

### View student course details

To view the details of a specific course and its enrolled students, follow these steps:

1. Click on the "Courses" option on the left-hand side of the navigation menu.
2. Select the "ACTIVE" tab from the upper bar to see the list of active courses.
3. Click on the name of the course that you want to view the details for.

By following these steps, you will be able to access the course screen where you can see a list of enrolled students, their evaluation progress and other relevant information. This will allow you to effectively monitor and manage the course and its participants.

#### Step 3: Creating a New Template

5. Under "Evaluation Templates," click on the "New Template" button.
6. Fill out the necessary details for your new evaluation template. This may include:
   * Template Name

7. Before saving your template, you can preview it to ensure it meets your requirements.

#### Step 4: Creating an Emne (Course)

8. Now that you have created your evaluation template, it's time to create a new "Emne" (Course) to associate with this template.
9. Go to the side menu and click on "Emner."

10. Click on the "Nytt emne" (New Course) button.
11. Fill out all necessary details for the new course, including the course name, description, and other relevant information.

12. As you scroll down, you'll find an option to add the evaluations that you previously created using your template.

#### Step 5: Assigning Responsible Users

13. Within the course creation process, you can assign the user responsible for filling out the evaluation. This could be a teacher, supervisor, or student.

#### Step 6: Assigning Users to the Group

14. Finally, assign teachers, supervisors, and students to this course group as needed.
15. Once you've added all the necessary parties to the course, click "Save" to create the course.

#### Step 7: Accessing the Course and Evaluation Form

16. All parties added to this course group will see the "Emne" (Course) on their "Emner" tab.
17. Within the course, they will have access to the evaluation form created using the template, which they can use to provide feedback and assessments.

# Workspaces

Workspaces is a feature in various productivity and project management tools that allows users to create and manage virtual workspaces for collaboration and organization of tasks, projects, and resources. In a workspace, participants can communicate with each other, share files, and manage tasks, all within a single platform. Workspaces can be created for specific projects, teams, departments, or any other purpose. Participants can be added or removed from the workspace as needed, and different levels of access and permissions can be assigned to each participant. Workspaces can greatly improve collaboration and productivity among team members by providing a centralized location for communication and project management.


# Workspace screen

The Workspace Screen is a section in the platform that allows users to manage their workspaces. A workspace is a virtual collaborative space where users can share files, communicate with each other, and collaborate on projects.

On the Workspace Screen, users can view all their active workspaces, search for specific workspaces, and filter them based on their status. Users can also sort their workspaces by the date they were created.

In addition, users can create new workspaces by clicking the "Create workspace" button and following the instructions. Users can also manage their existing workspaces by clicking on the workspace card and selecting options such as pinning, editing, or deleting the workspace.

Overall, the Workspace Screen provides users with an organized and efficient way to manage their collaborative projects and tasks in a centralized virtual space.

## Display Active Workspace

To view the details of an active workspace, follow these steps:

1. Click on Workspaces in the side navigation menu.
2. The active workspaces will be listed. Click on the workspace card to view its details.
3. To perform additional actions, such as pinning, editing, or deleting the workspace, click on the three-dot icon in the upper right corner of the workspace card.
4. If you created the workspace, you will see pin, edit, and delete options. If you joined the workspace, you will see pin and leave options."

## Search workspace

To quickly locate your workspaces, including those in all statuses (active, archived, invitation), you can use the search box. You can search by:

* Topic
* Title
* Participant name and surname&#x20;

Simply enter your search query in the box to see the results.

## Filter workspace

You can easily filter your workspaces based on their status using the filter feature. This allows you to quickly find the workspace you are looking for. Workspaces can be filtered by their status, including:

* Active workspaces
* Archived workspaces
* Invitations

## Sort workspace

You can easily sort your workspaces in the Workspace Screen by clicking the Sort icon next to the Filter option.

Workspaces can be sorted by:

* First created first
* Last created first

## Create new workspace

To create a new workspace, navigate to the Active Workspaces screen and click on the 'New Workspace' button located at the top-right corner of the page. From there, you will be prompted to provide details such as the workspace title, topic, attachments, and the list of participants who will be invited to join the workspace.&#x20;

# Creating new workspace

Creating a new workspace is an essential feature of the Workspaces section. It enables you to create a virtual space for collaboration, communication, and information sharing among a group of people. To create a new workspace, you need to select the "Workspaces" section from the side navigation menu, and then press the "New workspace" button located at the top right corner of the page.

## Adding workspace details

1. Select "Workspaces" from the side navigation menu.
2. Click the "New Workspace" button at the top right of the page while on the Active Workspaces screen.
3. Enter a title for your workspace.
4. Optionally, add a topic to your workspace.&#x20;

## Adding/removing participants

1. On the participants section, click on the empty space and select the participants you want to add to your workspace.
2. To remove a participant from your workspace, click the "Remove" button next to their name.

## Granting Editing Permissions to Participants

## Adding online documents from “Files“

1- Click the "Add document" button located on the workspace screen.&#x20;

2- Expand the directory for Common files or My files to find the desired documents.&#x20;

3- Select the documents you want to add to your workspace and click the "Save" button.&#x20;

4- The selected documents will now be added to your workspace and can be accessed by all participants."

## Uploading documents

1. Click the 'Add document' button.
2. Select 'Browse computer' and choose the file you want to upload.

## Creating workspace body

1- After adding the Workspace details, participants, and documents, click the Next button at the bottom of the page.&#x20;

2- In the next screen, you can create the body of your workspace by using a wide variety of easy-to-use editor tools. You can add text, images, videos, tables, and more to make your workspace informative and engaging.&#x20;

3- Once you are done, press the Save button at the bottom of the page to complete creating your workspace.

# Workspace options

These options can be accessed by selecting the desired workspace from the side navigation menu, clicking on it, and then clicking on the "More" button located at the top right corner of the workspace. The available options may vary depending on the user's access permissions and the current state of the workspace. By utilizing these options, users can manage their workspaces more efficiently and effectively, ensuring that their work is organized, secure, and accessible.

## Adding personal note

1. Go to the Workspaces section in the side navigation menu.
2. Click on the workspace where you want to add a personal note.
3. Click on the "More" button located at the top right corner of the workspace.
4. Select "Personal Note" from the dropdown options.

## Editing workspace details

## Deleting workspace

4. Select the "Delete Workspace" option.
5. Confirm your selection.

## Archiving workspace

1. Go to "Workspaces" in the side navigation menu.

# Workspace screens

## Workspace form

The workspace form screen provides a detailed overview of the workspace. To access this screen, follow these steps:

1. Select 'Workspaces' from the side navigation menu.
2. Click on the workspace you want to view the form for.
3. Click on 'Workspace form' in the top menu.

On the left side of the screen, you can also add comments or ask questions related to the workspace. This can be helpful for communicating with other participants or for keeping track of important information or decisions related to the workspace.

## Participants

To access the Participants screen, follow these steps:

1. Select 'Workspaces' from the side navigation menu.
2. Click on the workspace you want to view the participants for.
3. Click on 'Participants' in the top menu.

This will take you to the Participants screen, where you can view the list of participants associated with the workspace. Here, you can view their accept status and edit permissions. From this screen, you can also add new participants to the workspace, remove existing ones and changing their accept and edit status by pressing More participants button(only the creator of the workspace), and even send direct messages to participants.

### Accept status

On the Participants screen, you can see the list of participants associated with the workspace. Each participant's acceptance status is also displayed, which can be one of the following:

1. Accepted: When the invitee accepts the invitation and becomes an active participant in the workspace.
2. Denied: When the invitee declines the invitation to join the workspace.
3. Pending: When the invitee has not yet responded to the invitation and their status is still pending.

### Edit status

If a participant has been authorized to edit the workspace, the phrase 'Can edit' will appear next to their name in the participant list. This indicates that they have the ability to make changes to the workspace's contents.

### Send message

You can send a direct message to other participants by clicking on the message icon next to their name on the Participants screen. This will open up a chat window where you can communicate with them privately and securely without leaving the workspace.

## Documents

To access the Documents screen, please follow these steps:

1. Select 'Workspaces' from the side navigation menu.
2. Click on the workspace you want to access documents for.
3. Click on 'Documents' in the top menu.

This will take you to the Documents screen, where you can view all the documents associated with the workspace. You can upload new documents, download existing ones, or delete documents as needed.

### Adding/removing document

If you have editing authority, you can add a new document to the workspace by clicking on the '+ Add document' button in the 'Documents' screen. Similarly, you can remove a document by clicking on the delete icon next to it. This allows for easy management of the documents within the workspace.

# Workspace Comments

Workspace Comments is a feature within a Workspace where participants can share comments and discuss various aspects related to the workspace. The comments section allows participants to add new comments, view comments shared by others, and reply to comments. Participants can also add media files such as pictures, videos, and documents to the comments section to enhance their discussions. The comments section is accessible to all participants within the workspace, and it serves as a platform for collaboration and feedback exchange.

## Displaying/adding comments to workspace

To view and add comments to a workspace, follow these steps:

1. Select 'Workspaces' from the side navigation menu.
2. Click on the workspace you want to view or add comments to.

### Displaying comments in the workspace

The right side of the page is reserved for comment sharing. The upper part of this field displays shared comments, and the lower part is used for new comments entry. All participants in the Workspace can view comments shared by others.

### Adding comments to the workspace

All participants in the Workspace can add new comments to the workspace. You can add pictures, videos, and documents by clicking the '+' icon. You can add a text comment by clicking on the 'Add a comment' field, or create an audio recording and share it by clicking the audio icon.

# Messages

Messages is a feature that allows users to send text and multimedia messages to other users or groups of users within the platform. Users can access their message box by clicking on the message icon in the header of the platform.&#x20;

Once inside the message box, users can view their messaging history with individuals or groups, search for specific messages, send new messages to individuals or groups, and manage group settings. Messages can be sent in the form of text, audio recordings, pictures, videos, or documents. Video and picture recording can only be done through the mobile application.&#x20;

Additionally, users can edit group titles, add new members to groups, and view group member lists. Only group creators have the ability to delete a message group.

## Display messages

To access your message box, click on the message icon located between the notifications icon and the profile picture in the header. This will take you directly to your message box.

* In the left section of the message box, you can find your messaging history with the people or groups you have messaged before.&#x20;
* When you click on any person or group in this section, you will find the message content in the right section of the message box.

## Search messages

To search for a specific message or conversation in your messaging history, follow these steps:

1. Click on the message icon located in the upper right corner of the screen.
2. Click on the search box located in the top of the messaging history section.
3. Enter the text you want to search for in the search box.
4. Press the 'Enter' key or click on the magnifying glass icon to initiate the search.

The search results will appear in the left section of the messaging history section, where you can click on the conversation to view the message content in the right section.

## Sending message to an user

1. Click on the message icon in the upper right corner of the screen.
2. Click on the 'New message' button.
3. Select the person you want to send the message to.
4. Press the 'Create' button.
5. Write your message in the 'Add a comment' section at the bottom right of the page.
6. Send your message by pressing the 'Send' icon.

Once sent, your message will appear in the conversation history with the user, which you can access by clicking on the user's name or profile picture in the message box.

6. Send your message by clicking on the 'Send' icon.

By selecting more than one person and creating a message group, you can send messages to multiple people at once.

# Notifications

Notifications are an essential feature of any collaborative platform, and they allow users to stay up-to-date on all the important activities and events happening in their workspace. In our platform, notifications are designed to keep you informed about any new messages, mentions, tasks, updates, or other changes related to your projects, courses, and plans. With notifications, you can quickly and easily see what's happening, respond to requests, and stay on top of your work. You can manage your notifications by deleting or pinning them, as well as filtering them by type or status. Overall, the Notifications feature provides a streamlined way to stay informed and productive in your collaborative work.

## Displaying notifications

To view your unread notifications, simply click on the notifications icon located in the upper right corner of the screen. A pop-up will appear displaying all of your unread notifications.&#x20;

To view all of your notifications, including read ones, click on the "See all" button located at the top right of the pop-up. This will take you to a full-screen view of your notifications where you can browse through and manage them all.

## Navigation with notification

To navigate to the relevant content of a notification, simply click on the notification while it is in the pop-up or full-screen view. This will take you directly to the relevant content, such as a post, comment, or message.&#x20;

For example, if you receive a notification for a new message, clicking on the notification will take you directly to the message thread where you can view and respond to the message. This makes it easy to quickly access and respond to important notifications without having to navigate through the app manually.

## Searching notifications

To search for specific notifications:

1. Click on the notification icon in the upper right corner.
2. Click on the "See all" button on the pop-up to view all notifications.
3. Click on the search box and enter the keyword(s) you want to search for.
4. You can search for notifications based on;

* The person's name and surname or&#x20;
* The plan title.

The search function helps you quickly locate specific notifications among a large number of them.

## Delete notification

There are two ways to delete a notification:

1. In the pop-up window:

* Click on the notification icon in the upper right corner.
* Hover over the notification you want to delete and click on the "X" icon that appears.
* Confirm your selection by pressing the "OK" button in the new pop-up window that appears.

## Pin notification

To pin a notification, follow these steps:

1. Click on the notification icon in the upper right corner.
2. Click the "See All" button on the pop-up window.
3. Find the notification you want to pin and click on the 3-dot icon at the end of the notification.
4. Select the "Pin" option in the pop-up window.

## Deleting a notification permanently

To delete a notification permanently, follow these steps:

1. Click on the notification icon in the upper right corner.
2. Click the "See All" button on the pop-up window.
3. Select the "Deleted" option from the filter.
4. Find the notification you want to delete permanently and click on the 3-dot icon at the end of the notification.
5. Select the "Delete" option in the pop-up window.
6. Confirm your choice by clicking the "OK" button in the new pop-up window that appears.

## Deleting all notifications permanently

1. Click on the notification icon in the upper right corner.
2. Click the "See All" button on the pop-up window.
3. Select the "Deleted" option from the filter menu.
4. Click on the "Delete Permanently" button in the upper right corner of the page.
5. Confirm your choice by clicking on the OK button in the new pop-up window that appears.

## Restoring a notification

To restore a deleted notification, follow these steps:

1. Click on the notification icon in the upper right corner.
2. Click the "See All" button on the pop-up window.
3. Select the "Deleted" option from the filter.
4. Click on the three-dot icon at the end of the notification you want to restore.
5. Select the "Restore" option in the pop-up window.
6. Confirm your choice.

# Notes

The Notes feature allows you to create, store, and manage personal, plan, and workspace notes within the platform. To access your notes, simply click on the Notes option in the side navigation menu. From there, you can view and search through all of your existing notes, as well as create new notes by clicking the "New note" button.

You can also pin or delete your notes as needed.&#x20;

Additionally, you can search through your notes by title or content using the search bar at the top of the Notes page.

## Displaying personal notes

To display your personal notes, follow these steps:

1. Click on "Notes" in the side navigation menu.
2. You will see a list of your personal notes, plan notes, and workspace notes.

3. Click on the note card to view the contents of the note.
4. To continue adding new entries to the note, click on the note card and add your text.

## Search in created notes

To search for a specific note, follow these steps:

1. Click on "Notes" on the side navigation menu.
2. Click on the search box.
3. Enter the title or content of the note you are looking for.
4. The search results will appear below the search box, and you can click on the note to view it.

## Create personal note

1. Click on "Notes" in the side navigation menu.
2. Click on the "New Note" button located in the upper right corner of the screen.
3. Write your note in the text box provided.
4. Click the "Save" button at the bottom of the screen to save your note.

The first line of the text will automatically become the title of your note. You can access your personal notes from the Notes section of the navigation menu, and edit or delete them as needed.

## Pin/Delete a note

1. Click on "Notes" in the side navigation menu.
2. Find the note you want to pin or delete and click the 3-dot icon at the end of its card.
3. To pin the note, select "Pin" from the dropdown menu. The pinned note will be displayed at the top of your notes list.
4. To delete the note, select "Delete" from the dropdown menu.
5. Confirm your selection by clicking the "OK" button in the pop-up window that appears.&#x20;

# Files

The Files feature allows you to store and manage files and folders. You can create new files and folders, upload files from your local drive, move files to different folders, and edit or delete files and folders. Additionally, you can view your private files or the common files belonging to your organization, depending on the filter you select. The Files feature is a convenient way to keep your work organized and easily accessible.

## Displaying private files

1. Click on Files in the side navigation menu.
2. Select "My files" from the filter next to the search box.
3. You will see all your private files and folders listed. Folders are placed at the top of the side navigation menu for easy access.

MOSO is committed to protecting the personal data of its users. Here are some frequently asked questions related to the GDPR compliance of MOSO:

### What information does MOSO store about its users?&#x20;

MOSO stores the following personal data of its users: full name, username, email, pictures/videos, and phone number (optional).

### What constitutes consent to the storage of personal data?&#x20;

In order to use the MOSO platform, users are required to agree to the terms and conditions which outline the storage and usage of personal information.

### What happens to the comments, photos, and videos when a student finishes their education?&#x20;

If a user logs in using FEIDE, all media files are automatically deleted once the user no longer has access to their FEIDE account. For manually created users, it is the organization administrator's responsibility to delete users from the database.

### What happens when a user deletes their account from MOSO?&#x20;

When a user deletes their account from MOSO, all associated data, including personal information, user plans and workspace, comments in plans/workspace, likes in plans/workspace, photos in plans/workspace and messages, are immediately deleted from the server.

### How is the data encrypted on the server?&#x20;

MOSO uses encryption for passwords, emails, and telephone numbers. The algorithm used is SHA256 for passwords and AES\_ENCRYPT of MySQL for email and phone number. The purpose of encryption is to prevent unauthorized access to personal data.

### How are pictures and videos encrypted?&#x20;

The server used by MOSO comes with powerful security features such as encryption of data during transport with TLS, ACL for identity and access management, prescribed URLs for uploading and downloading files with expiring signatures, encryption of files on the server side via a private key.

### Can Amazon Web Services(AWS) gain access to the data on the server?&#x20;

No, Amazon Web Services(AWS) does not have access to MOSO's personal data. They agree not to process any personal data of MOSO's customers except for the purposes outlined in the terms of use.

### Where is the Amazon Web Services(AWS) server located?&#x20;

The Amazon Web Services(AWS) server used by MOSO is located in the Europa-region.

* Date and time for when you visited the MOSO website
* Date and time for when you visited the MOSO platform
* The website that led you to the MOSO website
* Device ID, such as device model and individual device ID, and / or cookie ID (cookies), and other information about your device (e.g. browser, language, time zone settings, operating system, platform and screen resolution)
* Channel for collecting information: browser, mobile browser, application and browser version
* Geographical information – your geographical location/position

You directly provide MOSO with most of the data we collect. We collect data and process data when you:

* Register and use the MOSO software
* Voluntarily register for an event, complete a customer survey, sign up for a newsletter or provide feedback on any of our message boards or via email
* Visit our website via your browser’s cookies
* Share your information with us, either directly or indirectly

MOSO may also receive your data indirectly from FEIDE which includes the email address registered in FEIDE, first and last name, user-ID in FEIDE, avatar (profile photo in FEIDE). To manage our Customer relations in general and to meet our Customer commitments, MOSO needs information about you in your role as Customer contact person or user of a service.

3\.     Manage your account and offer support to users of our products and services

4\.     Improve and develop the quality, functionality and user experience of our products and services. E. g notify about updates and bug fixes on the software

6\.     Prevent abuse of our products and services

7\.     Provide newsletters and information about upcoming events and customer related information

# Transfer of personal data to moso.as when using federated login

### Description of moso.as&#x20;

moso.as is a service aimed at students and teachers from universities that are members of SWAMID. The service provides authentication and authorization to users who have an electronic identity from SwamID for the Mentoring and Observation SaaS application. The service uses the swamid.mentoringapp.com endpoint.&#x20;

### Processing of personal data&#x20;

#### **Transfer of personal data**&#x20;

During the login process, personal information is transferred from the identity provider (your login service) to the moso.as service in order to identify you as a user and grant you access to the service. When logging in, the following personal data is requested from the identity provider:

Personal data is stored within AWS services located in the European region (Stockholm). No personal data is transferred to other third parties.&#x20;

### Lawful basis&#x20;

The legal basis for processing personal data is the necessity to perform a task in the public interest (Article 6(1)(e) of the GDPR), specifically ensuring that only authorized users and information systems have access to the IT environment (Chapter 4 § 3 MSBFS 2020:7).&#x20;

### Right of access, right of rectification, and right of erasure of personal data&#x20;

For access, rectification, and erasure of your personal data, please contact the Personal Data Controller. Rectification of personal data that was transferred during the login process must be done through the identity provider used for logging in. This information will be corrected in the service upon the first login after the personal information has been corrected in the identity provider.

### Purging of personal data&#x20;

All user data is automatically deleted when the user is removed from the service. The data controller has the ability to establish customized data deletion procedures for the organization.

### Personal data controller&#x20;

The respective organization acts as the personal data controller responsible for the processing of personal data. Contact information for the data protection officer can be obtained from the relevant higher education institution.

### GÉANT Data Protection Code of Conduct&#x20;

This service adheres to the international framework known as the GÉANT Data Protection Code of Conduct (<http://www.geant.net/uri/dataprotection-code-of-conduct/v1>) for the secure transfer of personal data from identity providers to the service. This framework is designed for services used in research and higher education within Sweden, the EU, and the EEA.
